KeepFiled ("we", "us", "our") operates the keepfiled.com website and service. This page explains what data we collect, how we use it, and your rights regarding that data.

1. Information We Collect

When you use KeepFiled, we collect:

• Account information: Your name and email address, provided via Google OAuth sign-in.
• Email content: The emails you forward to your KeepFiled address, including subject lines, body text, and attachments. We process this content to file your documents.
• File metadata: Information extracted from your documents (issuer, date, amount, document type) to organize and name your files.
• Google Drive tokens: OAuth access and refresh tokens to upload files to your Google Drive on your behalf. These are stored encrypted.

2. How We Use Your Information

• Process and organize documents you send to us via email.
• Upload organized files to your Google Drive.
• Send you confirmation emails about filed documents.
• Improve our document analysis and filing accuracy.

3. Third-Party Services

We use the following third-party services to operate KeepFiled:

• Google: OAuth authentication and Google Drive file storage.
• OpenAI: Document analysis and metadata extraction. Document content is sent to OpenAI's API for processing.
• Resend: Email receiving and sending confirmation emails.
• Supabase: Database hosting for user accounts and filing records.
• Vercel: Application hosting.

4. Data Storage & Security

We do not permanently store your document files on our servers. Documents are processed in memory and uploaded directly to your Google Drive. We store metadata (filenames, folder paths, filing history) in our database to power your dashboard.

Google OAuth tokens are encrypted at rest using AES-256-GCM. All data is transmitted over HTTPS.

5. Data Retention

We retain your account information and filing metadata for as long as your account is active. Email body text is truncated and stored for reply-threading and filing context. You can request deletion of your account and all associated data at any time.

6. Your Rights

You have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate data.
• Request deletion of your account and data.
• Revoke Google Drive access at any time via your Google Account settings.

7. Cookies

We use a single HTTP-only session cookie to keep you logged in. We do not use tracking cookies or third-party analytics.

8. Children's Privacy

KeepFiled is not intended for use by anyone under 13 years of age. We do not knowingly collect personal information from children.

9. Changes to This Policy

We may update this policy from time to time. We will notify you of significant changes by email or through the service.
